Register a customer's item, read its code and move it from arrival to return.

- Why
- The same tool comes back, and only a lasting identity tells you what has already been done to it.
- What
- Every item you service is a record in the registry with one code, a docket, labels and its full history.
- How
- Register it at
/app/servicing, then move it on with the one action its row offers.
Register an item
- Step 1.
On the Work view choose Register item.
- Step 2.
Under What is it, pick Choose from the catalogue or Not in the catalogue and describe it.
- Step 3.
Set the Service, the Customer and, if it has one, Max services, then Register.
More then Register from an order (or New job) registers an order's lines at once: say how many items each line represents and which service they run through, and the customer, the description and the product come across. Each item then links back to the order.
The code
An item's code is its serial: your Serial prefix, the year if you include it and a sequence, such as ABC-26-00147. Set the prefix under Document IDs in Settings then Organisation; numbers already issued never change.
The same code family marks other traced things with a type letter after the prefix: B for batch, P for package, J for job, D for delivery, L for stock lot and O for order line. A code with no letter, or with I, reads as an item.
The drawer prints it three ways: Print docket (A6, with the QR and the customer), Label 100x50 and Label 62x29. The QR opens /t/<code>; the Code 128 line carries the bare code for a wedge scanner.
The lifecycle
| Status | The one next action |
|---|---|
| Registered | Book in. Booking in sets the due date from the service's turnaround. |
| Intake | Inspect. |
| Inspection | Record inspection. |
| Awaiting approval | Chase approval: the customer decides on the quote portal. |
| In service | Mark complete. |
| Completed or Rejected | Send back. |
| Returned | Service again starts the next cycle on the same code. |
Lifetime and limits
At Max services the item reads Lifetime reached, and booking it in again needs an engineer's Override and book in, recorded on the timeline. A measurement outside the serviceability Limits asks the inspector to Mark not serviceable or Service anyway.
Mark not serviceable is permanent end of life: the item stays in the registry for its history and Reinstate is the only way back.
The drawer
Open any row for Overview, Steps, Cost, History, Documents and Links. History holds every status move and every station scan, with who made it.
The label for item KAB-26-00004, 20mm carbide endmill 6 flute: a QR for a phone and a Code 128 barcode for a bench scanner, beside every scan behind the code.
One item's code as a Code 128 line and a QR, beside the trail behind it.
