Statuses

StatusMeans
DraftBeing built. Most drafts come from a request in the AI area; New quote starts one by hand.
SentEmailed with its PDF and portal link. The sent copy never changes.
AcceptedAccepted at the portal, or by you with Create order. Either way an order is raised.
DeclinedDeclined at the portal, with the customer's reason if they gave one.
ExpiredA sent quote past its Valid until date. A daily pass marks it and the portal stops offering actions.

A change that would alter what the customer received goes on a New version: the sent copy stays exactly as it was and is marked Superseded. Any other change is saved as a revision you can revert to.

Send a quote

  1. Step 1.

    Open the quote from /app/quotes, in the table or the Board view.

  2. Step 2.

    Check the lines, the totals and Valid until, then choose Send.

  3. Step 3.

    The email goes with the PDF and the portal link, and the status moves to sent. Resend sends it again.

The quote portal

The link opens /q/<token>: no sign in, in your brand colour. The customer sees the lines, the subtotal, any discount, the VAT and the total, and can Download PDF. A line priced subject to inspection says so, and requirements noted on a line are printed under it.

  • Accept quotation, then Confirm acceptance, with an optional PO reference and PO file. The quote is marked accepted, an order is raised and whoever raised the quote is told.
  • Decline, then Confirm decline, with an optional reason for you.
  • An expired or decided quote shows no actions, and the link is rate limited.

Two automations in Settings then Integrations act on sent quotes: Warn before a quote expires and Follow up on a quote nobody has answered. Each runs only once you switch it on.
